Job Role
We're looking for a Head of The Portfolio Management Office to join our team.
Role Purpose: The Head of the Portfolio Management Office will be responsible for ensuring the delivery of a portfolio of significant projects across the society and holding project sponsors to account. Importantly, this includes ensuring the appropriate level of resource (internal & external) across the business to successfully deliver the desired outcomes. They will also be responsible for ensuring a robust business case (including investment appraisal) for each project is prepared prior to submission to the CFO for initial approval, and that post appraisals are conducted. The successful candidate will also use horizon scanning (both internally and externally) to identify opportunities for business improvement and defining new projects where appropriate.
The successful candidate will be responsible for the following areas:
Portfolio Delivery:
- Oversee the end-to-end delivery of the portfolio of projects, ensuring alignment with strategic objectives and in accordance with the Society’s project framework and governance.
- Work alongside project sponsors to develop and maintain project business cases, roadmaps, timelines and budgets, ensuring all projects are delivered on time, within scope, and within budget.
- Prioritise projects to ensure resources are allocated to the most critical initiatives.
- Coordinate cross-functional teams and manage interdependencies to ensure seamless collaboration.
- Ensure consistent project documentation, reporting, and communication to maintain transparency and accountability.
Stakeholder Management:
- Act as a primary point of contact for all project-related activities, ensuring clear communication and coordination across all stakeholders.
- Build and maintain strong relationships with key stakeholders, including ELT/SLT, business colleagues, and external partners.
- Facilitate regular meetings and presentations to update stakeholders on programme progress, risks, and issues.
- Manage stakeholder expectations and ensure requirements are incorporated into scoping and planning.
- Engage and influence stakeholders to drive commitment and support project initiatives.
Change Management:
- Identify potential resistance to change and actively engage colleagues in the change process, providing clear communication, processes and support.
- Provide guidance, coaching and direction to others who are managing uncertainty and change.
- Facilitate workshops to enhance colleagues’ understanding and engagement with change initiatives.
- Communicate with and keep stakeholders informed and engaged throughout the change process.
- Monitor and evaluate the effectiveness of change activities and make adjustments as necessary.
Continuous Improvement:
- Identify opportunities for process improvements and operational efficiencies within the programme.
- Foster a culture of continuous improvement and innovation within the programme team.
- Conduct regular reviews and assessments to identify lessons learned and incorporate best practices.
Team Development:
- Manage and develop a small team of project professionals.
- Define team objectives, establish performance expectations, and provide ongoing feedback and coaching.
- Develop succession and development plans to ensure the long-term success and sustainability of the team.
SKILLS, KNOWLEDGE AND EXPERIENCE REQUIREMENTS
The successful candidate will have:
- Proven record of delivering business change projects and embedding project frameworks across business units.
- Experience of building credible relationships and influencing senior management & leadership teams.
- Membership of an industry-related Professional body would be advantageous.
- Project Management qualification, e.g., PRINCE2 or 3+ years of relevant experience in project/programme management.
- Track record of successfully planning, managing and budgeting medium to large scale projects business wide
- Commercially and financially astute.
- Previous experience of managing a team.
